Benefits Specialist

Job Description

The Role: The Benefits Specialist will be responsible for administering, facilitating & explaining benefit programs to employees, including handling walk-ins and telephone inquiries, directing employees to appropriate resources. Investigates and resolves complex benefit issues. This includes assisting employees with enrollment, open enrollment, filing claims, COBRA, explaining appeal processes, and 401K enrollment. Acts as the liaison with third-party administrators and insurance companies as needed. Notifies the applicable vendors of new enrollments, changes and discrepancies. Researches and reconciles any discrepancies found by the vendors. Monitors and update compliance issues as it relates to our group health programs, recommending changes.

Your Focus:

Assists with the implementation and ongoing delivery of corporate benefit plans, including both health and welfare and 401(k) plans.

Responsible for promptly addressing and handling employee inquiries, either through walk-ins, phone or emails. Investigates and resolves benefits issues as well as escalates concerns as needed.

Serves as a point of contact with internal stakeholders, vendors and consultants on benefits program.

Supports new hire orientation and onboarding efforts, as it relates to benefits.

Administers leave program, including FMLA.

Administers and coordinate the Time Off Tracking System and addresses related Help Desk Tickets.

Coordinates various employee recognition programs, such as quarterly performance (E3) awards, birthday celebration, flowers and baby gifts, service awards, summer food trucks.

Collaborates with Payroll to review, analyze, and reconcile payroll, eligibility and census related data. Reviews and submits payroll files, accurately and timely.

Supports the annual benefits open enrollment process.

Expedites purchase orders and processes benefits invoices.

Works with third party vendors and consultants to coordinate services, as needed.

Prepares regular benefit reports. Assists with audits to monitor accuracy and performance. Performs administrative duties such as documenting processes and procedures, and updating benefit communications when needed.

Coordinates the design, development, and review of employee communications and marketing materials regarding health benefits, including development of benefits training, summary plan descriptions, and plan documents, to assist geographically-dispersed employee workforce and their dependents understand and value their benefits programs/services. Ensures all benefits notices and employee information are current, accurate, and available to employees through various delivery modes, e. g. Intranet SharePoint site.

Administers wellness initiatives and incentives, as needed.

Stay current on emerging and new legislation to provide recommendations on potential changes necessary for compliance.

Supports all plan filings and audits are performed to ensure and maintain plan qualification and governmental compliance of including but not limited to Employee Retirement Income Security Act (ERISA), HIPAA, DOL, and Internal Revenue Code.

Assists team with broader total reward philosophy and participates in market surveys.

Supports HR projects and other duties as assigned.

You should also bring the following:

Bachelor s Degree in related field

Minimum of 2 years of relevant experience in benefits administration

Knowledge and basic understanding of benefit plan administration required

Excellent analytical, problem solving and critical thinking skills

Must be able to multi-task in a fast paced, deadline driven environment

Must be able to work effectively as part of a team and independently

Must possess a continuous improvement mindset: identify, recommend and improve current processes

Must have experience with MS Office Suite (Excel, Word, and PowerPoint) with high level of proficiency in Excel

Strong written and verbal communication skills

Excellent customer service skills, and the ability to deal with employees at all levels

Compensation experience a plus

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
