Executive/Research Assistant

JOB SUMMARY:


Duties include accounting/budgetary assistance functions, coordination of meetings and conferences, travel arrangements, preparation of correspondence and file maintenance, program administration and assistance to the Institute Managing Executive Director and the staff of the Strategy and Innovation Department, including any geographically dispersed field offices.


ESSENTIAL FUNCTIONS:



  • Provide communication, program and research support to primarily the Vice-President and Deputy Director which includes preparation of correspondence, meetings, PowerPoint presentations, reports, travel coordination and arrangements, spreadsheets and organizational charts.

  • Manage internal and external communications, including responses to inquiries and requests for information for Vice-President, Deputy and for staff as necessary.

  • Schedules, sets priorities and conserves the Vice-President?s time.

  • Schedule and arrange meetings, conferences and team events/functions, including coordination and development of agendas, logistics, catering and facility/room requirements. Coordination required with other Executive Assistants and other managers at SourceAmerica.

  • Assist Vice-President with booking travel and collecting receipts for expense disposition for the Deputy.

  • Assist Strategy and Innovation Division staff with research or administrative support as necessary.

  • Coordinate receipt and distribution of mail from internal Operations staff for Division staff.

  • Updates SourceAmerica Intranet for the Strategy and Innovation Division

  • Provides support to the team by welcoming and providing information to customers, vendors, consultants, either by telephone, email or in-person at the office.

  • Perform additional duties and participate in special projects as assigned.


JOB SPECIFICATIONS:



  • Experience assisting senior executives (VPs), C-suite exectives or Senior Executive Service members with the Federal Government is essential.

  • Perform assigned responsibilities and accountabilities with broad, defined goals, measurable objectives and standing guidelines and standards in a collaborative, high-paced, proactive, professional team environment.

  • Proficient in program administration, organization, time management, oral and written communication, and performance of office administrative and logistics actions.

  • Great interpersonal skills, flexibility and leadership attributes.

  • Must have the ability to simultaneously coordinate and complete a multiple variety of complex programmatic, administrative, project and research tasks in a fast-paced, diverse business environment.

  • Demonstrate an appreciation of the Strategy and Innovation Division and SourceAmerica?s mission, strategies, values, priorities and goals.

  • Personal computer skills with proficiency in Microsoft Office, Power Point, Excel, Web-based applications and databases and the Internet are essential. Ability to use office equipment (photocopier, etc.).

  • Ability to travel as required by the responsibilities of this position.

  • Program and office administration, executive assistance, travel and meeting/conference planning, arrangements and management functions.

  • Technical/program administration, including preparation of a variety of correspondence, briefings, reports; communication and administration.

  • Management of processes for obtaining/providing or arranging for office supplies and equipment.

  • Development and management of web-based content as necessary.

  • Ability to take sufficient notes at a meeting and prepare an accurate record of events at meetings.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
