Office Administrator

Job Summary:


Responsible for providing administrative and technical support for all personnel located in the Washington DC Field Office, which may include individuals reporting to other functional departments.? Performs a variety of advanced administrative duties and responsibilities such as: maintaining various administrative reports;? assisting in the financial management of the field office budget; field office point of contact for data integrity; knowledgeable of the Document Management and Collaboration System (DMACS); first line approval for expense reports; office related invoice approvals,? business continuity plans; annual re-registration of producing and affiliated nonprofit agencies (NPAs); and other special projects as required.? Responsible for the maintenance of all leased facilities and equipment and general office supplies. Evaluate and support requests from team members to ensure office procedures/activities run smoothly.? Field Office POC for SourceAmerica?s Safety, Security and Diversity and Inclusion Team(s).


ESSENTIAL FUNCTIONS:



  • Provide administrative support to the Field Office Director(s) and office staff including meeting preparation, maintaining tracking logs, filing, completing reports, preparing and editing correspondence and other administrative duties.

  • Conference room set up to include IT and video conferencing.

  • Maintain inventory and ordering as appropriate office, kitchen and marketing supplies.

  • Maintain calendar and arrange travel for Field Office Director(s).

  • Personnel/Financial support: Interact with corporate office on administrative, personnel, accounting, invoicing, project controls and budget reports. Provide periodic reports to Field Office Director(s) including project summaries of revenue, cost, and personnel utilization.?

  • Electronic Business/IT support: Responsible for all office administrative and support functions including, but not limited to, coordinating computer networks, facility maintenance, phones, video conferencing and purchasing/leasing supplies and equipment.

  • Washington DC Field Office point of contact for NPA annual re-registration with SourceAmerica and Extranet request.

  • Lead the planning and logistics for events and various off-site roundtable meetings. May include offsite travel for hotel inspection and meeting point of contact.

  • Support internal meetings with other SourceAmerica work groups and customer groups visiting the office.

  • Develop and implement office systems for filing, network usage, vendors and office supplies.

  • Required travel as scheduled.

  • Perform additional duties to include more complex administrative support of Account Management and participate in special projects as assigned.

JOB SPECIFICATIONS:



  • Proficient in Windows, SharePoint (or similar) and MS-Office suite; strong Excel and PowerPoint skills.

  • Excellent organizational and communication skills.

  • Ability to multi-task and work on multiple projects.

  • Excellent interpersonal skills to cross organizational lines and coordinate complex actions.

  • Ability to work independently and as part of a team.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
